Melamine Product Sample Approval: A Checklist Before Bulk Orders

A sample is a reference for a purchasing decision. To make it useful, review it against a written specification and record exactly what has been accepted. An informal message that a sample looks good can leave important questions unanswered when a bulk order reaches production.

1. Identify the sample version

Record the supplier, model code, sample date, artwork version, and any accompanying drawing. Ask whether the sample represents the intended production material, finish, decoration, and packaging. If it is only a shape reference or an early prototype, list the details that still need approval.

2. Inspect appearance consistently

Review the surface, edges, color, decoration, and logo placement under consistent lighting. Take clear photographs from several angles, including close-ups of any issue. Describe the location and nature of the issue rather than relying on a general comment such as poor finish. Agree on which appearance differences are acceptable and which require correction.

3. Measure against the specification

Check the agreed dimensions and weight using suitable measuring equipment. Record the actual results beside the target values and tolerances. For sets or components that fit together, assess alignment and fit. Where stacking matters, review the proposed stack arrangement rather than evaluating a single item in isolation.

4. Review intended-use requirements

Confirm the supplier's written use and care instructions and compare them with your application. Ask for supporting product documentation where your purchasing brief requires it. Visual inspection alone does not establish every aspect of product suitability, and a sample approval should clearly distinguish appearance acceptance from any outstanding technical review.

5. Check packaging and identification

  • Does each pack contain the correct model and quantity?
  • Do labels and barcodes match the approved content?
  • Does protective packaging keep the proposed arrangement in place?
  • Are carton markings and packing information complete?
  • Is the sample packaging representative of the bulk order?

If packaging is still provisional, approve it as a separate item. Request a final packaging reference before treating the entire order specification as complete.

6. Issue a clear approval record

Use a simple table with the requirement, observed result, decision, and corrective action. Mark each item as accepted, requiring revision, or awaiting information. If changes are needed, specify whether a new physical sample is required and who will review it. Keep the revised sample linked to the original project reference.

7. Connect approval to production

Once all required points are resolved, retain an identified approved sample or agreed reference set. Confirm that the purchase order cites the correct drawing, artwork, packaging specification, and approval record. Agree on the inspection approach for the production batch; accepting a development sample does not mean that every later unit has been inspected.

This process creates a shared reference for the buyer and supplier and makes future reorders easier to manage.
