How to Prepare a Clear RFQ for Custom Melamine Products

A request for quotation, or RFQ, gives suppliers a common set of requirements to price. For custom melamine products, a complete RFQ can reduce repeated questions and make quotations easier to compare. It also helps separate an initial estimate from an offer based on a confirmed specification.

Start with the product brief

Identify the product type and intended use. Attach a reference image, a drawing, or an existing model number, and explain which details must be retained. Include dimensions, measurement units, desired weight where relevant, finish, and the expected order quantity. Mark any values that are provisional so the supplier can flag their effect on the quotation.

Describe customization in separate fields

Specify body color, surface decoration, logo position, artwork size, and any changes to shape. Provide editable artwork when available and identify the version being quoted. If a color reference is important, state how it should be approved. A screen image can communicate a direction, while a physical reference can help resolve appearance questions during sampling.

Make quantities and packaging explicit

List quantities by model and color rather than providing only a total order size. Explain whether you need individual units, coordinated sets, retail boxes, or bulk cartons. Include label content, barcode requirements, protective packing, and any carton size or weight constraints that matter to your receiving process.

Use this RFQ checklist

  • Product: model or reference, dimensions, finish, and intended application.
  • Quantity: units per model, color, and design, plus optional price tiers.
  • Customization: artwork files, logo placement, color references, and shape changes.
  • Packaging: units per pack, box style, labels, and carton requirements.
  • Documentation: product evidence and acceptance requirements relevant to the order.
  • Schedule: target sample review date and required delivery window.
  • Destination: receiving location and the delivery basis you want quoted.
  • Costs: a separate breakdown for goods, samples, tooling, printing, and packaging.

Ask suppliers to identify assumptions

Request that each quotation lists exclusions, minimum quantities, validity, payment terms, and the conditions needed to start production. Ask whether tooling is required and, if so, request written terms for ownership, storage, maintenance, and later changes. Do not assume these arrangements are included in the unit price.

Review the quotation before approving a sample

Check that the proposed item matches your RFQ and that all revisions have been captured. Where a supplier proposes an alternative, record its effect on appearance, dimensions, price, or timing. Keep the RFQ, quotation, drawing, and sample approval under the same project reference.

A well-prepared RFQ does not need to be long. It needs to make the important purchasing decisions visible, so both buyer and supplier understand what the final quotation covers.
